Nostrification Process of Academic Credentials - The paradigm of Hellenic NARIC - DOATAP

Process Description

The underlying BPMN model renders the nostrification process of academic qualifications, supported by the Hellenic NARIC, commonly known as DOATAP.

The process starts when an applicant requires an academic degree recognition. Initially, the applicant is requested to collect all the documents that are indispensable to the execution of the underlying process, such as copies of the personal identity, the issued degree, the official transcript, etc. Connecting to the E-DOATAP platform, the applicant is requested further to fill in an online application form. Prior to its submission, the applicant is requested to deposit a payment voucher, taking into account that the applicant bears the cost of the nostrification fee, composed of the nominal fee, the bank charges, and the transfer fees. Once the nostrification fee has been deposited, the application along with the applicant's documents and a proof of payment are submitted and propagated to DOATAP, where the nostrification process is triggered. Therein, the process is compartmentalized into two distinct phases, namely the preliminary assessment (aiming at the confirmation of applicant’s qualifications) and the verification phase (aiming at making the verification decision). Firstly, a rapporteur is requested to check the application completeness and contact the applicant in case of a missing document. Once all the mandatory documents are received, the rapporteur continues with a check of the documents validity, while in parallel confirms the applicant’s alleged qualification, after contacting the signatory HEI and waiting for a response. At the time that the aforementioned screening is completed, the rapporteur evaluates the preliminary assessment, deciding either to proceed to the verification phase or reject the application due to identified discrepancies. In the former scenario, the verification phase unfolds, where a registration number is assigned to the underlying application and communicated to the applicant. Subsequently, the rapporteur drafts a motion to verification and forwards it to the Board of Directors (BoD). Thereafter, a verification decision is made based on the formerly received motion, before the decision outcome being communicated to the applicant and stored in a database, thus rendering the completion of the nostrification process.

Based on the degree type, the nostrification fee is calculated as shown in the first table, while the duration of each process phase (i.e., Preliminary assessment and verification phase) is presented in the second one.
